Overview

This integration lets you automatically sync your WooCommerce orders to Sellsy, turning your e-commerce orders into invoices, estimates, purchase orders, or delivery notes depending on your needs.

Installation

Sign up and log in

  1. Create your account on Order Invoicer
  2. Log in to your customer area

Note: Signing up is free and lets you test the integration.

Create a new connector

  1. In your dashboard, click "Add a connector"
  2. Select "WooCommerce" as the e-commerce platform
  3. Select "Sellsy" as the invoicing software
  4. Click "Create connector"

Important: This step creates the foundation of your integration. You can change the settings later.

Configure WooCommerce

  1. Your store URL: Enter the full URL of your WooCommerce (e.g. https://your-store.com)
  2. Consumer Key: Enter the consumer key generated in WooCommerce
  3. Consumer Secret: Enter the consumer secret generated in WooCommerce
  4. Click "Test connection" to verify access
  5. Click "Save" to confirm the configuration

Verification: Make sure the URL ends with your domain (with no trailing /).

Configure Sellsy

It is strongly recommended that the user configuring this step be an administrator of the Sellsy account, so that they automatically have all the permissions required by the connector.

Otherwise, please make sure the collaborator's privilege profile has at least the following permissions:

  • Clients / Client visibility level: All
  • Clients / Create clients
  • Contacts / Contact visibility level: All
  • Contacts / Create contacts
  • Invoicing / Access to the Invoicing module
  • Invoicing / Invoice visibility level: All
  • Invoicing / Create invoices

View privilege profiles on Sellsy

Click "Connect Sellsy" and accept the permissions.

Note: The Sellsy configuration is the same for all e-commerce platforms.

Enable your workflows

Once the Sellsy app is installed, you will be redirected automatically to this step.

Pay attention to the start date of your flows (by default, the date the connector is configured).

We recommend generating "drafts" rather than finalized invoices during the testing phase.

You can configure:

  • The document owner (by default, the user who configured Sellsy)
  • A document template
  • A pricing category

Verify the conversion of your orders

Conversions are performed instantly (a few minutes' wait at most).

Automatic reconciliation

Customers

  • Customers already present in Sellsy are automatically reconciled by email
  • New customers are automatically created in Sellsy
  • Contact information is preserved

Products

  • Products already present in Sellsy are automatically reconciled by reference (Sellsy) and SKU (WooCommerce)
  • New products are automatically created in Sellsy
  • Price and stock information is synchronized
  • Important: The SKU must contain at least 2 characters to be synced

Taxes

  • Tax information is retrieved from WooCommerce
  • Please make sure it is configured correctly in WooCommerce
  • VAT rates are preserved in Sellsy

If you use the WooCommerce Price Based on Country plugin, disable the "Round to nearest" option in the pricing zone settings. This option creates amount discrepancies between WooCommerce and Sellsy invoices. See the WooCommerce installation documentation for more details.

Synchronization settings

Synchronization frequency

  • New orders: Instant (webhook)
  • Updates: Every 5 minutes
  • Manual synchronization: Available from the dashboard

Error handling

  • Orders in error are flagged in the dashboard
  • Reconversion attempts are automatic
  • Error logs are available for diagnosis

Workflow customization

Trigger conditions

You can configure when to trigger each workflow:

  • Order confirmed: As soon as the order is validated
  • Order paid: After payment is received
  • Order shipped: After the shipping status is updated
  • Order completed: Once the order is finalized

Status mapping

Configure the mapping between WooCommerce and Sellsy statuses:

  • WooCommerceSellsy
  • Pending → Draft
  • Shipped → Shipped
  • Completed → Finalized

Multi-store configuration

If you use WooCommerce in multi-store mode:

  1. Create one connector per store: Each store requires its own configuration
  2. Separate API keys: Use different API keys for each store
  3. Custom workflows: Adapt the workflows to the needs of each store

Troubleshooting

Common issues

Synchronization is not working

  • Check that the API keys are correct
  • Make sure WooCommerce is active
  • Check the API user's permissions

Customers not reconciled

  • Check that the emails match between WooCommerce and Sellsy
  • Make sure the customers exist in Sellsy
  • Check the case of the emails

Products not reconciled

  • Check that the references/SKUs match
  • Make sure the products exist in Sellsy
  • Check the reference configuration

Tax errors

  • Check the tax configuration in WooCommerce
  • Make sure the VAT rates are correct
  • Check the tax rule configuration

Webhooks not working

  • Check that WordPress permalinks are configured
  • Temporarily disable security plugins
  • Check the web server configuration
  • See the dedicated WooCommerce and Sellsy webhooks page (status in the app, empty log, Sellsy)

Order metadata

Order Invoicer automatically adds metadata to your WooCommerce orders to maintain traceability with Sellsy.

Metadata added

Each processed order receives meta_data containing the URLs of the documents generated in Sellsy:

  • orderinvoicer.invoice_url - Sellsy invoice URL
  • orderinvoicer.order_url - Sellsy purchase order URL
  • orderinvoicer.estimate_url - Sellsy estimate URL
  • orderinvoicer.creditnote_url - Sellsy credit note URL
  • orderinvoicer.delivery_url - Sellsy delivery note URL
  • orderinvoicer.proforma_url - Sellsy proforma document URL

Accessing the metadata

In the WordPress interface:

  1. Go to WooCommerce > Orders
  2. Click a processed order
  3. In the Custom Fields tab, you will see the Order Invoicer metadata

Through the REST API:

Through PHP:

Configuration

You can change the connector settings at any time through your Order Invoicer dashboard.

Note: Configuration changes are applied immediately for new orders.
