Payments and bank reconciliation

How Order Invoicer manages invoice payment status and the reconciliation of payouts in Pennylane

Invoice payment status

When an order is marked as paid on the e-commerce side (for example in Shopify), the corresponding Pennylane invoice is automatically marked as paid.

  • This behavior applies only to finalized invoices (status "Final")
  • It can be configured from the connector settings and can be disabled

Transaction reference

For payments processed by Stripe, the transaction identifier (pi_…, ch_…) is recorded in the transaction reference field of the Pennylane invoice, in order to keep traceability with the payment provider.

Shopify Payments payouts

Order Invoicer syncs Shopify Payments payouts along with their line-by-line detail:

  • Sales (gross amount, fees, net)
  • Refunds
  • Fees and adjustments
  • Reserved funds

Syncing payouts requires that you have authorized Shopify Payments access when installing the application.

Automatic reconciliation with Pennylane

From a payout page in Order Invoicer, you can automatically reconcile payments with your Pennylane invoices:

Choose the Pennylane bank account

Select the Pennylane bank account on which the payout was received.

Matching transactions

For each line of the payout, Order Invoicer looks for a matching Pennylane transaction (same date, same amount) on the chosen bank account. If no transaction exists, one is created automatically with an explicit label (for example Payout 2026-06-02 - Invoice F-2026-123).

Reconciling invoices

Each Pennylane transaction is then automatically matched to the corresponding invoice (or credit note) in Pennylane. The match is visible directly in Pennylane on both the invoice and the transaction.

Shopify fees (payment commissions) are synced and visible in Order Invoicer on the detail of each payout, but they are not automatically recorded in Pennylane. Their accounting entry remains the responsibility of your accountant.
