Accounting entries for orders
Record sales in an accounting journal, without creating an invoice
The Accounting entries for orders workflow records each sale directly in a journal of your accounting software, without creating a document for the customer. It is available with Pennylane, Cegid and ACD, and is set up in the Workflows tab of the connector settings.
With Pennylane, it can run alongside invoices. With Cegid and ACD, it replaces them: turning it on turns off the Invoices from orders workflow.
This workflow is in beta. Check the first entries in your accounting software before leaving it to run on its own.
Before turning it on
Set up your accounts (sales, VAT, payments) in the connector's Accounting tab: entries are booked on those accounts.
Settings
- Start date: orders placed before this date are ignored.
- Include orders from: All customers, Businesses only (an order with a company name or a tax ID) or Individuals only.
- Journal: the sales journal that receives the entries. With Pennylane, pick it from the list; without a journal, no entry is sent. With Cegid, type its code (
VEby default). With ACD, pick it from your dossier's sales journals, in the Accounting tab.
An entry is created as soon as the order exists, paid or not. Draft and cancelled orders are ignored.
Beta limitations
- One entry is created per order. Grouping by day or month is coming soon.
- Refunds don't create entries yet.
Invoices for businesses, entries for individuals
With Pennylane, this workflow can run alongside invoices from orders. To give your business customers an invoice and record sales to individuals as plain entries:
- In Invoices from orders, set Customers to invoice to Businesses only.
- In Accounting entries for orders, set Include orders from to Individuals only.
Both workflows sort orders by the same rule: each order gets an invoice or an entry, never both.
If you also filter invoices by tag, a business order without the tag gets neither an invoice nor an entry. Keep the same rule on both sides.
With another bookkeeping tool
If another tool already records some of your sales in your accounting software, each sale must go through only one of them:
- exclude from that tool the orders Order Invoicer invoices, using the same rule (tag or customer type);
- don't turn this workflow on for sales the other tool already records;
- check that refunds follow the same rule: Order Invoicer creates the credit notes of the orders it invoiced.
