Payout reconciliation
How to reconcile the orders and refunds in a payout in Sellsy
Order Invoicer fetches payouts from your payment provider and locally links their lines to orders and refunds. Once Sellsy invoices, credit notes, and payments have been checked, you can create the bank deposits from the payout page.
Connect your provider from Payouts → Payment providers on the connector. The providers already found in your orders' payments over the last 90 days are listed first, under Suggested for this connector, with the number of payments involved.
Credits
Fetching and analysing the payout and running the checks are free. Creating the final bank deposits uses 1 credit per unique reconciled order and 1 credit per reconciled refund. Multiple lines for the same order or refund count once; excluded lines, fees, and adjustments do not count.
The batch is all-or-nothing: if your remaining credits cannot cover every order and refund, no bank deposit is created in Sellsy.
Only confirmed reconciliations are counted. A retry reuses the same reservation, including after a lost response, so it never charges twice. A failure uses no credit, and reconciliations made before this rule remain free. Understanding credits.
Unidentified transactions
A payout transaction that matches no imported order or refund blocks the Identify the transactions step. They are all listed in that step. For each one, choose:
- Import: it is a sale or a refund. Order Invoicer looks the order up in your store automatically and offers to import it. If it isn’t found, click Search to find it by order number, or by amount and date. An order placed before the connector’s sync start is imported blocked: it is not converted automatically. The check then runs again automatically.
- Exclude: the transaction leaves the payout’s scope and is set aside (suspense account) to be handled later. You will find it under the Excluded filter of the Transactions tab. A dialog restates the transaction’s details and lets you enter a justification (optional), kept as the audit trail of the exclusion.
Each choice is saved immediately. Then click Check to run the identification again.
