Installation
To complete the full installation, you need both a Shopify account and a Pennylane account.
Install the Shopify app
Click the link above, choosing the store on which to install the connector.
Install from the Shopify marketplaceOnce installed, the app will be visible from your Shopify admin under "Apps and sales channels" > "Pennylane".
Connect Pennylane
Once the Shopify app is installed, you will be automatically redirected to the Pennylane login screen.
- Click Connect Pennylane
- Authorize access to your Pennylane account
- Select the company to connect
Configure your workflows
Set up the rules for converting your orders into Pennylane documents:
- Document type: Invoice, estimate, or purchase order
- Status: Draft or validated (see below)
- Automatic sending: Enable email sending to your customers
The Final status requires that you have first configured invoice numbering in Pennylane. Without this, the sync will fail. Learn more
Activate your subscription
To allow the workflows to run properly, you need to activate your trial period.
Choose the right "Standard" or "Pro" subscription on Shopify.
Once the trial ends, the connector's billing will be integrated directly into your Shopify store invoice.
You can change your plan at any time from the app's configuration on Shopify:
"Apps and sales channels" > "Pennylane" > "Plan" > "Manage".
Check the conversion of your orders
Conversions are performed instantly (a few minutes' wait at most).
- Customers already present in Pennylane are reconciled automatically by email
- Tax information is retrieved from Shopify
- Products are synced with their SKU references

Payment methods
For each Shopify order, Order Invoicer retrieves the payment transactions, including:
- the payment gateway: Shopify Payments, PayPal, Zettle, etc.
- the payment method when provided by Shopify: bank card, Apple Pay, etc.
- the amount, currency, status, and date of each transaction
This information is visible in Order Invoicer at the level of each order.
Pennylane does not offer a "payment method" field on customer invoices: this information therefore does not appear directly in Pennylane. For Stripe payments, the transaction identifier is carried over to the invoice's transaction reference field. Settlement matching is done via payout reconciliation.
Order metadata
Order Invoicer automatically adds metadata to your Shopify orders to maintain traceability with Pennylane.

Each processed order receives metafields containing the URLs of the documents generated in Pennylane:

Accessing the metadata
In the Shopify interface:
- Go to Orders > All orders
- Click a processed order
- In the Metafields section, you will see the URLs of the Pennylane documents

Configuration
You can change the connector's settings at any time.
Once you are satisfied with the connector, you can convert your orders into finalized invoices, and even send them to your customers by email!

Frequently asked questions
What can the accounting firm configure?
The accounting firm's specific role is at connection time: on a Pennylane Collaborative plan, your accountant can connect your company at no extra cost, using a connection link that you send them. They don't need an Order Invoicer account. Learn more.
Once connected, there are no settings "reserved for the accountant": anyone with access to the connector configures the same options, from the Workflows and Accounting tabs:
- Orders → Invoices: conversion trigger, status (draft or finalized), automatic email sending, payment sync mode, exclusion of zero amounts
- Refunds → Credit notes, Orders → Estimates, Draft orders → Estimate / Proforma
- Orders → Accounting entries (preview): choice of journal, grouping by order, day or month, customer scope (B2B / B2C)
- Accounting codes: debit/credit rules by VAT rate, line type or SKU reference, and customer centralization
- Customer matching (by email or by name) and VAT / SIREN / SIRET metadata keys
- Document templates per country and email notifications
If draft orders / purchase orders are created on Shopify, do they sync?
The term "purchase order" covers two things:
- Shopify draft orders: yes, they sync if the Draft orders → Estimates (or Proforma) workflow is enabled. They are handled as documents distinct from finalized orders. When a draft order is completed in Shopify, Shopify creates a regular order that is then invoiced normally.
- Purchase order number (PO number) on B2B orders: it is retrieved from Shopify and kept on the order in Order Invoicer.
What exactly syncs, and when?
In addition to the Synced data table above, here is the detail of when each sync happens:
- Real time (via Shopify webhooks): orders → invoices, refunds → credit notes, customers (reconciled by email), products (by SKU) and payment transactions → settlement status.
- Conversion timing: driven by the conversion trigger you choose (order placed, paid, shipped…). Learn more.
- Accounting entries (preview): generated per order, or grouped by day or month depending on your setting.
- Payments: the invoice is marked as paid according to the payment sync mode; for Stripe, the transaction identifier is carried over to the invoice.
- Shopify Payments payouts: synced daily for bank reconciliation.
Scheduled jobs regularly re-check orders to catch any missed conversion (refunds in particular are re-verified every hour). If webhooks are temporarily unavailable, new orders can also be resynced manually.
